Note taking is important. By having a record of learnings, decisions and interesting events, the club can learn and improve.
- There should always be someone actively taking notes during meetings, including officer meetings and post-Toastmaster review. In particular, important decisions or learnings should be recorded.
- As a secretary, you have a duty to keep a record of all meeting notes and important documents (e.g. legal, tax). By having all documents (not just from the secretary, but from all members) kept in one place (currently the club uses Google Drive), it would make it easy for current and future generations of officers to organize and search for them.
- The club should keep a record of member participation. For example, who fulfilled the roles in each Toastmaster meeting. Currently the club uses a Google Spreadsheet, in the same Google Drive as mentioned above, for planning future meetings, as well as keeping track of members’ activity.
